Who closes a leaver's mailbox the same day?

Usually nobody. The mailbox lives on for months, mail goes nowhere, and the licence is still being charged. A new hire gets access in pieces, as someone remembers what else they need. The admin password is known by whoever set it all up, and they left the company long ago.

Someone to answer for access

You get one address to write to about access and a named person who answers for it: access is granted by role, not just to stop it getting in the way. We run your whole company account: user accounts, plans, groups, shared mailboxes and sign-in rules.

Onboarding and offboarding stop being a memory exercise. On day one the person has email, drive and groups. On the last day access is closed, the mailbox is handed to the manager, and the seat comes off the invoice — that same day, not a month later.

Once a month you get a breakdown: how many seats are in use, what is being paid for nothing, and which plan costs less for the same headcount.

Questions

There are six of us. Would it not be simpler to buy the licences ourselves?

You can. The vendor's invoice stays yours either way and we add nothing to it. What you pay for is someone running your accounts: opening and closing people, keeping sign-in by the rules, and showing you once a month exactly what was charged.

Licence prices change. How does that show up on the invoice?

As its own line, with a date. Microsoft revises its price list, so the quote carries the price on the day it was worked out and the invoice carries the price on the day it was issued, as is. Our line does not move: it is for the work, not the licence.

We are on Google Workspace, not Microsoft. Do you do that too?

Yes. The work is the same: user accounts, groups, shared drives, sign-in rules and the invoice review. Only the plan names differ between Microsoft and Google. If you need to move from one to the other, we price the migration separately and run it when it suits you.

We have decided to start. What happens in the first week?

First we look at what you have: who exists, who is on which plan, where sign-in has no second step. Then we take over the admin rights and close what is burning — abandoned accounts and paid-for seats nobody uses. None of it stops the company working.
