What happens to your books if the old file stops opening one day?
Nobody knows. The file sits on one computer in the bookkeeper’s office, the copy on a USB stick in a drawer. The bookkeeper works remotely and logs into somebody else’s desktop. The bank report is put together by hand: the figures out of the programme do not add up. Updating would break the payroll link.
A move after which the reports add up
Only a clean file goes to the cloud. Before the move we check it: duplicate contacts, open periods, broken links to accounts. Rubbish carried over as is stays rubbish — and you will be hunting for it in the cloud later, at a higher price.
First we move a copy and reconcile it: balance sheet, turnover, account and contact balances at the switch date. Anything off, we sort it out there and then — not when the bookkeeper puts together the first report for the bank.
We switch over at the weekend. The old file stays read-only, and for the first two weeks your bookkeeper works with our support alongside.

Questions
Intuit moves the file for free. Why pay?
You can do it for free. That is one hour-long session with a size limit, and only the file itself gets moved. The clean-up beforehand, the reconciliation, bank rules, access rights and the links to payroll and sales are not part of it — and that is exactly where the time goes.
How much history moves across?
Three years are in the price of the company file. Earlier periods move a year at a time, and that is a call to make at the review: often the balances at the switch date are enough, with the archive left read-only in the old programme.
What happens to the work during the move?
The switch is set for a weekend. Until then the bookkeeper works as usual; afterwards, in the cloud, while the old file stays read-only. For the first two weeks support is right there, so questions do not pile up.
Will the reports after the move match the old ones?
Yes. We reconcile before the switch, not after: the figures in the cloud must match the figures in the old file at the same date. Any gap is sorted out there and then. Whatever does not carry over to the cloud version we name in the review report — before work starts.
