Who at your company counts how many licences you are paying for?

Nobody. The bill arrives once a month, the total grows, and there is never time to look into it. Seats are paid for people who left. The same person sits in two subscriptions at once. A renewal went through on auto-charge at the old price and the new one was noticed a year later.

An invoice you understand

Once a month you see what the money went on: how many seats are occupied, how many are paid for in vain, what is expiring and when. Subscriptions, email, cloud and design licences are run by one team — and that team will also suggest what to move to another plan.

A licence stays a licence and work stays work. The vendor's bill reaches you as its own line, exactly as it is, and our markup on it is zero — printed as a number on the invoice. That is why a conversation about a plan does not turn into a conversation about our money.

A month later the surplus seats are gone, the renewals are in the calendar, and every price carries the date it was checked against.

What we do and from what price

Questions

We already buy licences through a reseller. Why change?

You do not have to. The contract with the vendor and the bill stay yours, and we take no markup on them. The difference is who runs your subscriptions between the bills: adding and removing people, keeping the plans matched to the company, and showing once a month what the money went on.

Why is the licence price not printed next to yours?

Because it is different money. Microsoft's and Google's price lists move, and printing a copy would mean promising someone else's price. The licence reaches you as the vendor's bill, exactly as it is. Our line is for the work, and it carries the date it was checked against.

There are four of us. Is this review meant for bigger companies?

No. With few subscriptions the review takes less time and costs less: the price is worked out from the number of accounts, not from a tier you have to grow into. Seats paid for in vain turn up at four people just as they do at forty.

We have decided to start. Where do you begin?

With an inventory. We look at which subscriptions exist, whose name they are in and who actually uses them. Then your contract with the vendor: when the renewal falls and what the cancellation window is. Only after that do we propose changes and name a yearly figure.
