Who runs the accounts at your organisation?

Whoever can. Usually the programme coordinator, between two grants. Volunteers sign in from personal email, half the people who left still have drive access, the discounted licences are in the former director's name, and nobody has the time to check whether the discount is even yours.

The discount is an entitlement, not a coupon at checkout

You pay the discounted price and get an invoice made out to the organisation, instead of putting subscriptions on a staff card. That price comes only with proof of status: we check what you are entitled to, file the proof and move the subscriptions over.

Then the administration: adding and removing people, keeping staff and volunteers apart, access to drives and mail, renewals, and a report on what is paid for and who is using it.

The discount does not carry over to schools or government bodies: the price there is different. If you work there too, we price those subscriptions separately before the invoice.

Questions

Are we definitely eligible for the discount?

That is what the $670 check is for. Eligibility depends on your status and what you do, and the vendor decides it, not us. If you are not eligible, you learn it before you buy, not after the discount is refused.

We have volunteers. Do they count?

Anyone with a work mailbox or access to your data counts. A volunteer is often fine with a limited set of rights — cheaper and safer than a full licence. We separate staff and volunteers during setup.

We also work with schools. Does the discount hold?

No. The nonprofit discount does not carry over to schools or government bodies — that is the vendor's rule. We price those separately before the invoice, so it does not surface at renewal.

Does the account stay ours?

It does. Partner access is granted under the vendor's rules, is time-limited and is removed at your request. The domain, the data and the right to buy direct stay with the organisation.
