# Booking appointments by phone

The client books themselves while you work.

## Who books the client while your hands are busy?

Nobody. The plumber is under the sink, the doctor is with a patient, the lawyer is in court — the phone gets answered in passing, or not at all. Someone promises to call back in the evening, and by evening the list is lost. By then the caller has booked with whoever answered straight away and named a time.

## The caller hangs up already booked

The agent looks at your calendar during the call: it names a free slot, books it, moves it, cancels it. It will not offer a slot that is taken — it sees the calendar now, not yesterday's copy.

The caller gets an SMS confirmation straight away and a reminder the day before. The new booking lands in the same calendar you used before us: Google Calendar, Outlook, Calendly, Jobber, Housecall Pro or HubSpot.

A summary of the call goes back into the client record, and every morning you get a report: answered, missed, booked.

### Our calendar is not Google. Can the agent handle it?

Yes, if the system is a standard one — and the first connection is in the price: Google Calendar, Outlook, Calendly, Jobber, Housecall Pro, HubSpot. A closed clinic system, PMS or EHR, is connected through a middleman: a manager gives you the price once we have seen your system.

### What if the agent books two people into the same slot?

It will not. It checks free slots in your calendar during the call, not against yesterday's copy. If the caller asks for a slot that is taken, the agent offers the nearest free one or passes the call to a person — whichever rule you set.

### A caller changes their mind. Do cancellations and reschedules cost extra?

No. Cancellations and reschedules use the same included minutes as the booking itself. There is no separate charge, and nobody has to promise a call-back just to move a slot.

### We do not book office visits, we book call-outs.

That works. It makes no difference to the agent: it asks for the address, the job and how urgent it is, names an arrival time and puts the job in the same calendar. Triaging an emergency call is a dispatch scenario — that is sold as a separate line.
